Access Control Readiness

  • Door and entry point inventory complete (all controlled access points mapped)
  • Zone map defined (public, restricted, staff-only, secure)
  • Credential strategy confirmed (card, mobile, fob, or biometric)
  • Surge credentialing plan in place for event staff and contractors
  • Temporary access zones identified and scoped
  • Audit trail and reporting requirements documented
  • Cabling and power infrastructure validated for all door hardware
  • Integration with video surveillance confirmed

Camera & Video Surveillance Readiness

  • Coverage plan complete (all risk areas, sightlines, and choke points mapped)
  • Camera types selected (indoor, outdoor, low-light, PTZ as needed)
  • Mounting locations confirmed and pathway-accessible
  • Retention requirements defined (days, compliance, access controls)
  • Storage architecture confirmed (cloud or NVR, bandwidth validated)
  • Network segmentation and PoE switching in place

Low-Voltage & Cabling Readiness

  • Pathway mapping complete (conduit, J-hooks, cable tray)
  • Cable categories specified (Cat6/Cat6A/fiber per application)
  • MDF/IDF locations confirmed and built out
  • Fire-rated penetrations planned and permitted
  • Testing and certification plan in place (TIA/EIA standards)
  • Labeling convention defined and documented
  • C-7 licensed contractor confirmed for regulated scopes
  • Surge crew capacity confirmed for compressed timelines

Documentation & Handoff

  • As-built drawings scope confirmed
  • Labeling maps and patch panel documentation included
  • Certified test results for all cable runs
  • Admin/operator training scheduled
  • Closeout package delivery timeline confirmed
  • Warranty and maintenance documentation included
  • Operational handoff to facilities and security teams planned

Common Failure Points

These are the most common failure modes we see in venue and large-scale event infrastructure projects — and what we do to prevent them.

Scope gaps between trades

Access control, cameras, and cabling are scoped separately with no single integrator coordinating across systems. Result: devices installed but not integrated, vendors pointing fingers.

Cabling infrastructure not validated before device install

Camera and access control hardware arrives on-site before cabling pathways are confirmed. Result: delays, rework, and missed event windows.

No surge credential plan

Temporary staff, contractors, and event personnel are not accounted for in the credential strategy. Result: access control bottlenecks on event day.

Retention and storage not sized for event volume

Camera storage is sized for normal operations, not event-period traffic. Result: footage gaps or storage failures during the highest-risk window.

Documentation not delivered before handoff

As-builts, labeling maps, and test results are promised but not delivered before the event. Result: facilities and security teams operating without documentation.

Licensed scope not confirmed

Low-voltage installation is performed without confirming C-7 licensing. Result: compliance risk, inspection failures, and potential project shutdown.
